A key that has been issued is gone. You can ask for it back, and the person may return it, and you will never know whether it was copied in the eighteen months they held it. That uncertainty is the reason premises get re-pinned after every resignation, and it is the recurring cost the system is meant to remove.

A credential is different. It is switched off in seconds, from a keyboard, and it is genuinely off. That is what you are buying — which is also why the specification conversation should start with staff turnover rather than with door count.

Where Readers Earn Their Place, and Where They Do Not

Putting readers on every door is the commonest way to overspend on this, and the distinction is simple enough to apply yourself.

The doors that earn it are the ones where the population changes. Main entrances. Floors shared between tenants. Stores, server rooms and cash offices. Anywhere staff turnover is high, or where contractors come and go on projects.

The doors that do not are internal doors used by a stable group of people who all need access anyway. Those are cheaper, more reliable and less trouble on a properly designed locksmith for master key systems — no power, no batteries, no controller, and nothing to fail during an outage.

A sensible design uses mechanical hardware where the population is stable and electronic credentials where it is not, and the two sit together comfortably in the same building. Fail-Safe, Fail-Secure, and the Question Nobody Asks

There is one technical decision that matters more than the brand on the reader, and it is the one most often skipped in a sales meeting: what each door does when the power goes.

A fail-secure lock stays locked when the power drops. A fail-safe lock releases. Neither is correct in general — it depends entirely on the door.

A stockroom, a server room or a cash office is normally fail-secure: losing power should not open it. A door forming part of the escape route from an occupied floor cannot be, because a load-shedding slot must never leave people unable to get out.

The Audit Trail Is Only Worth What It Records

Every system offers logging, and the logs are genuinely useful — for stock loss, for after-hours access disputes, for insurance questions after an incident.

Two things reduce them to noise, and both are process problems rather than product problems.

Shared credentials are the first. A fob lives on a hook and four people use it, so the log records the fob rather than a person. Everything downstream of that is unusable, and no amount of reporting software fixes it.

Propped doors are the second, and they are usually a design symptom. A door gets propped when the access arrangement fights the way the building actually works — a delivery route with a reader nobody can reach while carrying something, or a smoking door on the wrong side of a controlled boundary. How a System Gets Specified

Five steps, and only the last one is about hardware. The four before it are what decide whether the system is worth having.
